The position of Billing Manager and Associate Office Administrator will be responsible for supervising and managing all Firm billing activities. Responsibilities include administrating Firm billing systems and billing software program; managing new matter in-take and file docketing systems; training and managing Firm staff on timekeeping protocols; producing and analyzing financial reports; working with Firm Controller and Firm Administrator to assist with Firm operations, including accounting, IT and social media marketing.
Specifically, the job responsibilities include:
- Overseeing the process of daily new matter in-take and file opening, including preparation and coordination of client engagement letters, setting up new matters in billing software and confirming proper docketing of digital files;
- Managing daily, monthly and task-specific invoicing delivery schedules;
- Proofreading and revising pre-bills and working with responsible attorney on invoicing clients;
- Administering Firm billing software, including software maintenance, upgrades and licensing agreements with vendor along with software applications and protocols with Firm timekeepers;
- Training new and managing existing timekeepers on Firm timekeeping protocols;
- Working in conjunction with Firm Controller to prepare monthly reports based on data abstracted from Firm billing software;
- Creating models to leverage analytics from Firm billing software to assist Firm Partners in decision making;
- Management of Accounts Receivables;
- Backing up Firm Controller with various accounting functions;
- Assisting Firm Administrator with IT and marketing functions, specifically firm website and social media.
The position is full-time. It is estimated that the billing/accounting responsibilities will require 35 to 40 hours a week.
The position reports to the Firm Administrator.
Experience in a professional service based business is preferred, but not required. We welcome applicants without specific work experience, however the right candidate will have a high level of acumen in the following areas: business, accounting, IT and editing/copywriting. Preferred candidates have a Bachelor’s degree in Business, Accounting or Finance.
